Everything a good back office does, without the back office
Each service below is a defined piece of work with a named owner and a delivery date. Take one, or take the set. The scope is written down either way.
Monthly bookkeeping
The core engagement. Every month we categorize your transactions, reconcile every bank and credit card account, and deliver a profit and loss statement, balance sheet, and anything unusual flagged in plain English.
Statements arrive by a business day we commit to in writing. If something looks off during the month, you message the person who actually keeps your books, not a queue.
| 201.1 | Transaction categorization across all connected accounts |
| 201.2 | Bank and credit card reconciliation, every account, every month |
| 201.3 | P&L, balance sheet, and cash summary delivered on a committed date |
| 201.4 | Plain-English notes on anything unusual, before you have to ask |
Catch-up & clean-up
Books go quiet for a lot of honest reasons. An accountant retired. A bookkeeper moved on. A busy season turned into a busy year. We rebuild from bank records and whatever paperwork survived, then reconcile until the books match reality.
Catch-up work is quoted as a flat project after the free diagnostic review, separate from your monthly price, so the past never inflates your future costs. It is also the first thing we handle in a retiring-accountant handoff.
| 202.1 | Rebuild of missing months or years from bank and card records |
| 202.2 | Duplicate, miscoded, and commingled transactions corrected |
| 202.3 | Historical reconciliations brought current, account by account |
| 202.4 | A written summary of what was fixed and what to watch |
Payroll coordination
We coordinate payroll through your provider, whether that is Gusto, ADP, Paychex, or another platform: runs scheduled, filings tracked, and every payroll booked to the right accounts so labor costs read true on your statements.
If you are not on a provider yet, we help you pick one and set it up. We do not hold your payroll money; it moves directly between you, your provider, and your people.
| 203.1 | Payroll runs coordinated on your schedule through your provider |
| 203.2 | Payroll tax filing deadlines tracked and confirmed |
| 203.3 | Every run booked correctly, including taxes and benefits |
| 203.4 | Provider selection and setup for first-time payroll |
Invoicing & bills
Receivables and payables are where small businesses quietly lose money: invoices that go out late, bills that get paid twice, deposits that never get matched. We run both sides on a weekly rhythm.
You approve every payment. We prepare, schedule, record, and follow up, so the cash position you see is the cash position you have.
| 204.1 | Customer invoices prepared and sent on schedule |
| 204.2 | Polite, persistent follow-up on outstanding receivables |
| 204.3 | Bills captured, scheduled, and paid with your approval |
| 204.4 | Weekly cash position summary you can read in one minute |
Tax-ready financials
At year end, your tax preparer gets a complete, reconciled package: final statements, general ledger, fixed asset detail, loan balances, and payroll summaries. Everything they need, nothing they have to chase.
Keep the tax preparer you trust and we will work with them directly. Need one? We will connect you with licensed preparers we already work with. We prepare the books; a licensed professional prepares the return. Clean lines.
| 205.1 | Final reconciled P&L, balance sheet, and general ledger |
| 205.2 | Fixed asset, loan, and payroll detail schedules |
| 205.3 | Direct coordination with your tax preparer, including their questions |
| 205.4 | 1099 information gathered and ready before January deadlines |
Controller & advisory
When the books are current, they start answering questions: which line of work actually makes money, what payroll the business can carry, when cash gets tight. A monthly review call walks you through your own numbers until they are second nature.
This is not a slide deck subscription. It is a standing conversation with someone who has your ledger open in front of them.
| 206.1 | Monthly review call over your actual statements |
| 206.2 | 13-week cash flow forecast, maintained |
| 206.3 | Annual budget built with you, tracked monthly against actuals |
| 206.4 | Lender-ready reporting when you need financing |
What we don't do
A clear scope protects you more than a long one. We do not prepare or sign tax returns, represent taxpayers before the IRS, perform audits or reviews, or give legal or investment advice. For that work you need a licensed CPA, enrolled agent, or attorney, and we will happily coordinate with yours or introduce you to ones we trust.
If you ask us to do something outside our lane, we will say so instead of improvising. That is a feature.
Not sure which accounts you need?
Tell us where the books stand and we will propose the smallest engagement that solves the problem.
